Data protection

We handle two main categories of data: account data for the people who sign in to run a business on Kuwa, and workforce data about the staff those businesses employ. The business that signs up to Kuwa is the data controller for its own staff records. Apex Dap Group Ltd acts as the data processor and stores that information on their behalf. Data protection registration status: Application in Progress. Once registration with the Ghana Data Protection Commission is approved, the registration number will be published in this section.

Security controls

We treat customer data as the most important thing on the platform. Our day-to-day controls include: • Role-based access so staff, managers, owners and super admins only see what they are allowed to see • Encrypted connections (HTTPS/TLS) for every request • Encrypted storage for sensitive records at rest • Strong password rules and session management for sign-in • Audit logging on important actions (clock-ins, edits, role changes, exports) • Backups handled by our managed database provider • Separation between business workspaces so one company cannot see another company's data We keep improving these controls as the product grows and as customers ask for more from us.

Privacy commitment

We only collect the information we need to run the service: account details, business details, staff records the owner or manager enters, attendance events, payroll-related figures, and basic device and usage signals. We do not sell personal data. We do not share customer data with advertisers. We do not use staff attendance data to train external AI models. Full details of what we collect, why we collect it and how long we keep it live in our Privacy Policy.

Cookie usage

Kuwa uses a small set of cookies and similar storage: • Strictly necessary cookies to keep you signed in and to protect the account • Functional storage to remember preferences such as language or last-used workspace • Optional analytics cookies, only after you accept them in the cookie banner, so we can see which pages help businesses and which need work We do not use advertising cookies. Full details and how to change your choices live in our Cookie Policy.

Compliance standards

We design Kuwa to line up with Ghanaian and common international expectations for SaaS platforms handling employee data: • Ghana Data Protection Act, 2012 (Act 843) • Industry-standard security controls for SaaS platforms • GDPR-style user rights (access, correction, deletion) for individuals whose data we hold • Records and exports suitable for SSNIT, GRA and internal HR processes We will publish further certifications and attestations here as they are completed.
